General Policies
Attendance & The "24-Hour Rule"
Cancellations: Consistency is key to academic growth. If you need to cancel or reschedule, please provide at least 24 hours' notice.
Late Cancellations: Sessions canceled with less than 24 hours' notice are subject to a 50% session fee (for hourly students) or count as a completed session (for monthly packages).
The 15-Minute Rule: I value your time and mine! I will wait at our meeting location for 15 minutes. If no contact is made by then, the session is forfeited.
Payments & Refund Policy
The KW Commitment: Secure Placement
At KW Math Tutoring, your tuition secures a dedicated and limited "seat" on my roster. Because I maintain strictly limited student counts to ensure high-quality, individualized instruction and "The Mental Tax Solution" methodology, specific tiers are billed as committed packages.
Non-Refundable Tiers & Fees:
To maintain program integrity and instructor availability, the following are strictly non-refundable:
- Monthly Subscription Packages: This includes the Full Curriculum Instruction and Virtual Power Hour tiers. These are billed as upfront, flat-rate packages; no refunds or credits are issued for mid-month withdrawals or absences.
- Yearly Registration and Materials Fee: This fee is non-refundable once student-specific materials (workbooks/licenses) have been prepared or activated.
Payment Deadlines & Billing:
- Monthly Subscriptions: Invoices are sent via TutorBird and are due on the 1st of each month.
- Grace Period: I offer a courtesy grace period until the 3rd of the month.
- Automatic Termination: If payment is not received by the end of the day on the 3rd, services will be suspended and your student’s seat may be forfeited. This allows me to remain fair to families on the waiting list ready to begin instruction.
- 1:1 Private Tutoring (Hourly): For 1:1 Private Tutoring, payment is due in full at the time of the session. These sessions are subject to the 24-hour cancellation policy outlined in your service agreement.
Schedule & Holidays
School Calendar: To ensure I can maintain a reliable routine for both my students and my own family, KW Math Tutoring follows the St. Johns County School District (SJCSD) academic calendar.
Breaks: Sessions are not held during Thanksgiving, Winter Break, Spring Break, or on district-wide holidays/teacher workdays.
Safe Learning Environment
The "No Closed Doors" Policy: For the safety and comfort of both student and tutor, all sessions must take place in an open, low-traffic area of the home or a public venue (like a library).
Parental Presence: A parent or guardian must be present in the home or nearby in the public venue for the duration of every session.

Yearly Registration and Materials Fee: Full Curriculum students pay a one-time, non-refundable $75.00 fee at enrollment. This fee covers student-specific instructional workbooks (All Things Algebra), digital curriculum licenses, consumable manipulatives, and administrative enrollment costs.
Frequently Asked Questions
How does billing work?
For my monthly subscribers (Full Curriculum and Power Hour), invoices are sent via TutorBird and are due on the 1st of each month. To keep my schedule organized for all families, if payment is not received by the 3rd of the month, services may be suspended or terminated.
Do you accept the Step Up for Students Scholarship?
Yes! I am an approved provider and work with families using the PEP and FES-UA scholarships. I offer two payment pathways to fit your needs:
Option 1: Direct Pay (EMA Marketplace): You may reserve funds through the EMA portal for KW Math Tutoring, LLC. I will submit an invoice for approval once services have commenced.
Option 2: Parent Reimbursement: You may pay KW Math Tutoring directly to secure your student's seat. I will provide "Step Up-ready" itemized invoices and non-refundable attestation letters for you to submit for immediate reimbursement.
Please Note: Parents are responsible for ensuring sufficient funds are available in the EMA portal. Regardless of the scholarship status or portal processing times, the parent/guardian remains responsible for all account balances. If a claim is denied or funds are unavailable, the balance is due immediately via Paypal/Venmo/Cash.
What is my role as a Homeschool Parent?
For families utilizing my Full Curriculum service, it is important to note that the parent remains the legal "Teacher of Record" per Florida State Law (F.S. 1002.41). I provide the expert instruction and grading, while you maintain the official attendance and portfolio for your annual district evaluation.
What materials does my student need?
Students should arrive with a dedicated binder, pencils (no pens, please!), and a calculator (TI-30Xa recommended for 6-8th grade students, TI-30XS recommended for Algebra 1 and Geometry students, TI-84 Plus recommended for Algebra 2 and above).
For virtual sessions, a working camera and a quiet space are required. Phones are put away during instruction to ensure 100% focus!
How many Power Hour sessions are in a semester?
The Virtual Power Hour guarantees 16 high-impact sessions per semester. This allows a buffer for holidays and the rare tutor emergency without disrupting the student's progress.
Are Power Hour sessions recorded?
To protect student privacy and proprietary curriculum, recordings are not permitted.
How do I track my child’s progress?
I believe that transparent communication is the key to student success. How we track progress depends on the service tier you’ve selected:
For 1:1 Private Tutoring & Full Curriculum Students: You will receive a detailed Session Note via email immediately following every lesson. These notes are also archived in your TutorBird Student Portal for easy reference. Additionally, you have 24/7 "live" access to your student's Microsoft OneNote Notebook, where you can view every problem worked, every correction made, and all instructional sketches created during our time together.
For Virtual Power Hour Students: The Power Hour is a facilitated Q&A service designed to help students conquer the most challenging concepts of the Saxon curriculum. Because this is a group support session rather than individual instruction, parents remain responsible for tracking their child's overall course progress, grades, and completion. I am always happy to provide general feedback on how your student is engaging during the group hour, but detailed individual reporting is reserved for our 1:1 tiers.
